Reservation Detail

Complete reservation information including status changes, notes, payments, compensations, and activity history.

Reservation Detail

The reservation detail is the central place where you'll find all information about a specific reservation and from where you can perform all management operations. It opens as a modal window after clicking on a reservation in the calendar or in the reservations table.

Detail Header

At the top of the detail, you'll find the basic identifying information:

  • Reservation number - unique identifier (e.g., #R-2024-00142)
  • Status badge - colored label showing the current status (pending, confirmed, cancelled, etc.)
  • Date and time - the reservation date and time

Customer Information

The customer information section displays:

  • First and last name of the customer
  • Email - with the option to send a message directly
  • Phone - with the option to call directly (on mobile devices)
  • Profile picture of the customer (if available)

Clicking the customer's name takes you to their full profile with the history of all reservations.

Service Details

In this section, you can see exactly what the customer ordered:

  • Service name (or multiple services if included in a single reservation)
  • Duration of individual services
  • Price for each service
  • Assigned employee providing the service

Managing Individual Blocks

If the reservation contains multiple time blocks (e.g., an all-day rental split into morning and afternoon), you can manage each block independently - changing its status, employee assignment, or time.

Changing the Reservation Status

You change the reservation status directly from the detail. Click on the current status badge or the status change button and select a new status:

You can optionally add a note with the reason for any status change. This note is saved to the activity journal.

Notes and Comments

In the reservation detail, you can add two types of notes:

Internal Notes (Admins Only)

Internal notes are visible only to you and other administrators. The customer cannot see them. Use them for recording special requests, communication between team members, or notes about problematic situations.

Customer-Visible Comments

These comments are visible to the customer in their account. Use them for informing the customer about changes, confirming special arrangements, or sending additional information.

Activity Journal

At the bottom of the detail, you'll find a complete activity journal that chronologically records all events: reservation creation, status changes, added notes, payment events, date changes, and employee reassignment. The journal cannot be edited or deleted - it serves as an audit trail.

Payment Information

The payment section displays:

  • Total amount for the reservation
  • Payment status (paid, unpaid, partially paid, refunded)
  • Payment method (online card, cash, terminal, voucher)
  • Payment date

Customer Compensation

If you need to compensate a customer (e.g., when cancelling on your end), the reservation detail offers two options:

  • Voucher (credit) -- create a voucher for the customer for a given amount for their next reservation
  • Stripe refund -- if the customer paid online by card, you can initiate a refund directly from the detail

Stripe charges fees for refunds. The fee for the original transaction is not returned on a refund. The system will alert you to this before confirming the refund.

Actions from the Detail

From the reservation detail, you can perform the following actions:

  • Change status - approve, complete, mark as no-show
  • Reschedule - change the date/time (see Reschedule & Cancel for details)
  • Cancel - cancel the reservation with compensation options
  • View payment details - payment detail and refund options
  • Add a note - internal or customer-visible
